The meeting was called to order at 7:01pm by club president Cindy Cawthra. In attendance were Bill and Cindy Cawthra, Margaret Smith, Jim and Karen Bowman, Harold Perkins, Geraldine Edwards, Daisy and Jim Jensen, Bob Tuttle and Shary Jones.
Cindy read aloud thank you cards received for the community club from the family of Jerry Shafer and also from Spencer and Peggy Parker.
Minutes from the previous meeting were read by Bob Tuttle and minutes from the July 2012 meeting were read by club secretary Shary Jones. Club treasurer Margaret Smith read the financial report. Karen Bowman made a motion to accept the meeting minutes and financial report into the record. Daisy Jensen seconded the motion. A vote was taken, and the motion carried.
A discussion was held concerning this year’s Max Fun Day, and it was agreed that more club members need to volunteer their time to help. Cindy also brought up that several thank you cards were sent out to those who helped out during fun days, and also those local sponsors who generously provided raffle prizes and other donations, as well as the musicians who donated their time and talents to keep everyone entertained during this year’s fun day.
Old business also included a discussion of the results of the water testing that the club received, and what steps could or should be taken regarding the water at the club building.
New Business:
A request has been made to rent the club building for December 24, 2012. A rental agreement will be sent to those making the request.
This year’s fish fry’s was also discussed. It had been previously approved to reduce the number of fish fry’s to 3 instead of 6. They will be the first Saturday of November 2012, the first Saturday of January 2013, and the first Saturday of March 2013. Serving will be from 5:30pm thru 7:00pm.
A discussion was held regarding whether or not we should order more scalloped potatoes for the fish fry’s. It was decided that we should order more. Shary Jones made a motion to approve this decision, and Margaret Smith seconded the motion. A vote was taken and the motion approved.
There was also a discussion regarding the cost of attending the fish fry’s for club members who donate food for the fish fry’s. It was decided that if a member brings at least two family sized dishes to the fish fry, that member will only have to pay ½ price ($5.00) for that fish fry. Any family members who attend with that club member will still have to pay full price ($10.00) for that fish fry.
The club insurance policy was also discussed, and it was noted that the cost for insurance has gone up about $50. Geraldine Edwards made a motion to accept the insurance as priced. Karen Bowman seconded the motion. A vote was held and the motion carried.
There was a discussion as to whether or not to pay Casey (?) for his help at this year’s fun day, as he spent several hours preparing the beef that was served. A suggestion was made that the club write him a check for $50 and also give him a gift certificate for him and his family to attend one fish fry. Geraldine Edwards made a motion to accept this suggestion. Jim Jensen seconded the motion. A vote was held and the motion carried.
The meeting adjourned at 7:45pm
The next meeting of the Max Community Club will be held on November 12, 2012.
